Guidance on Reporting a Road or Lighting Fault

It is now possible to report a Road or Street Lighting defect on-line using the following link. Please read the following instructions which will assist you to provide us with the relevant information. These guidance notes can also be accessed at any time from the report form.

The following guidance is based upon a scenario of a member of the public reporting a blocked gully.

 

1. When the form opens you are asked to select a category. You need to decide if you are recording a roads related fault or a street lighting defect (please note illuminated signs are recorded as street lighting defects). When clicking in the filed a drop down box appears and you are invited to make a selection: (in the above scenario "Roads" would be the appropriate selection).

2. You will then be asked to select the item. The item refers to the asset type that is displaying the defect e.g. carriageway to report a pothole, ditch to record a blockage etc. In the above scenario the asset giving concern is a gully.

3. Once the asset type has been selected you will then need to advise of the actual fault. When the user picks the "Item" above the system automatically provides a list of typical faults associated with the selected item and these are displayed in the drop down box to the right of the "Fault" heading. The user should select the appropriate fault. In most cases there will be a fault type of "Other". This will allow any unusual fault to be recorded. In the above scenario the fault is a blocked gully so "Blocked" should be selecte from the drop down list.

4. The final field on this form is a free text box where the user can enter any details that will assist us to understand how serious the situation appears to the person recording the fault.

5. The user should now press the next button to progress to the next form.

 

6. The next form allows the user to identify the location of the defect. To assist the person recording the defect to identify the location the user is given a choice of either using a street name, a place, or a post code - click one of the three radio buttons to select your preferred method of locating the defect. In our scenario the user has opted to use the street name option. The user should then key in all or part of the street name in this case "King" and then press the search button. In this case the user is then presented with a choice of three possible streets containing the word "King". From this list the actual street with the defect, "King Harald Street" is selected and the next button is pressed.

7. After a short time a map will appear. The map will display the chosen location, in this case King Harald Street. The map will also be overlaid with all known itesm of hte chosen inventory (gullies in the above example). These items are shown as green dots on hte map. At the top right of the map there is a pan and zoom button to allow the user to "home in" on the exact location.

8. After zooming into a larger scale map of the area the user can then click on the appropriate location using the finger of the hand icon for a defect such as a pothole or on the appropriate green dot for a specific inventory item. In this case the ofending gully is located just outside the Youth Hostel. Depending upon your browser settings you may see a pop-up information box showing identity code and location description. If this appears click the close text. The user will then need to click " next" at the bottom of the screen.

9. This takes the user to the final input screen. Here the user is asked to provide contact details for themselves. They are also asked for their preferred method of contact e.g. telephone, letter or e-mail. The user must then click on the submit button.

10. The final screen is a confirmation that the defect has been recorded on our system. The system will also generate a reference number that should be noted and stated during any further enquiries about the defect. In normal circumstances the user can expect to be contacted by the method chosen by them within a few days to confirm what action is being taken.
